Administrative Team Supervisor

ELEOS Psychology Center is seeking an administrative team supervisor to join our administrative team Monday through Friday.

Supervising duties include:

  • supervising team of 4-6 administrative assistants
  • providing direct feedback to supervisees with patience, calm and compassion
  • ensuring work completed by admin team is accurate and timely
  • helping admin team engage boundaries with compassion with clients
  • creating and utilizing spreadsheets for task organization, tracking, calculating and completion

Administrative duties include:

  • providing reception and administrative support
  • welcoming and directing clients appropriately
  • answering incoming calls
  • completing brief phone intakes and scheduling new clients
  • assisting staff and managers in completing various tasks/projects
  • maintaining security and confidentiality at all times.

Billing duties include:

  • willingness to learn and become proficient at medical billing
  • accurately calculate, collect, and document amounts due for services
  • examine client bills for accuracy
  • follow-up on missed payments and resolve billing issues
  • patiently and calmly discuss billing matters with clients and insurance companies
  • work collaboratively with the office manager and billing administrative assistant on the above

Preferred Qualifications:

  • leadership and supervisory experience helpful but not required.
  • warm/friendly disposition with strong customer service skills
  • outstanding verbal and written communication skills
  • acknowledge and resolve mistakes quickly
  • receptive to corrective feedback for continued improvement on performance
  • easily work with and understand numbers/calculations
  • quickly learn computer programs that are essential for the job
  • skilled in Google Drive/Docs/Sheets, Microsoft Word, Excel
  • familiarity with health insurance, billing, and accounting is helpful
  • excellent attention to detail
  • accurate data entry
  • successful at multitasking and prioritizing
  • excellent problem-solving and critical thinking skills
  • Bachelor’s Degree preferred
